VOLUNTEERS : LECTURES : ANNOUNCEMENTS Volunteers! The following position for Volunteers: Programs Committee The Program Committee shall be responsible for the Monthly Program, Special Events, Hospitality and Workshops/Education. The committee shall consist of a Chairperson and up to four members appointed by the Chairperson. 1: ___Nancy Silkroski____2: ___ Shelly Skinner____ 3. ____(open) __________ 4. ____(open)_________ Contact Speakers and obtain topic and Bio 4 months prior to their speaking engagement. Ask them to speak for 2 hours, allowing about 20 minutes for questions. Be sure that they know it should be a workshop and not a lecture. Club pays $50/hr. Contact the Speakers a week before the meeting. Remind them that they are speaking and make sure that they know where the Club meets and the start time. (22649 - 83rd Ave S., map on website) Expect them between 6:15 & 6:30. Club Business until 7:00. They speak 7:00 – 9:00. When you have the Speakers ' topic and Bio compiled, send it to the Communications Chair to be published on the club website. Greet Speaker when he arrives and help him to feel comfortable. Introduce the Speaker at monthly meetings . Arrange workshops as needed. Coordinate food for August outdoor meeting. Coordinate food and prizes for December Christmas gathering. Communications Committee Chairperson - Kay Kaanehe (open) The Communications Committee shall be responsible for the Website, Photographs, Library, and Greeter. The committee shall consist of a Chairperson and up to four members appointed by Chairperson. Bring out library cart and unlock for each meeting. Have checkout book available. File returned books/material. Maintain library (archive/delete/new) materials. Hospitality Focal - Carol Lynn Harp Set up food and drinks for each meeting. Help greet guests and members and make them feel comfortable. Webmaster - James Pratt (open) Redesign website once a year for the club. Update documents and letters on the website. Create Email accounts for executive board member s and committee chairs. Publish picture and club information on the website. Submit website report at the club meetings when requested. Take Digital photos at special events, workshop, Expos and some meetings. Submit digital photos to webmaster for publishing on the our club website. Expo Committee Expo(s), including Exhibitors, Vendors, Readers, Healers, Advertising, and facilities. The committee shall consist of a Chairperson and up to 5 five members appointed by the Chairperson. 1:__Nancy Congleton__ 2:___ Darlene Ducey____ 3:__Kay Kaanehe____ 4:___(open)___________ 5:___(open)_________ 2: Fill out and Submit Expo contract to Kent Commons. Obtain Liability Insurance from Boeing Rec for the Expo (Kent Commons requirement). Enter Vendor information into the club database from Vendor applications. Maintain Expo floorplan to be published on club website as it’s updated. Communicate Vendor website/email information to be published on website. Create Expo Program (3 piece WORD with cover ) and speaker info (speaker info supplied by Speaker Focal). Floorplan with Vendor information. Vendor information from the club database. Take program to be printed. Create Vendor table signs with booth number, name, and company name. Track Vendors not needing tablecloths and designate on day of Expo (table # on red paper). Track how many chairs are required for each booth for Expo setup. Maintain Volunteer Sign-up sheet. Create/Maintain Expo guest door prize slips and bring to the Expo. Communicate floorplan and chair requirements to Kent Commons. Maintain Expo Checklist. Bring membership applications to the Expo. Gather remaining door prizes for club meetings. Gather completed door prize entry forms and complete Advertising Results spreadsheet and enter email addresses into club database to send emails for next Expo.
